How best to maintain records for home tuitions
-
The easiest way is to pay for each lesson. That will eliminate any confusion.
-
Normally i write on the calendar and also in a notebook. After every lesson, tutor will sign off.
-
Last time my tutor has this notebook that I keep after every lesson sign and write down a summary of what was done for that lesson.

Some of my students' parents do not keep track of the number of lessons. So they ask me to inform them when it's time to make payment. I appreciate their trust in me. However, I will make it a point to indicate on the calendar on the child's desk (if any) for each lesson he/she has with me. I also keep a record in my own notebook. In case the parents want to check the number of lessons, I can show them my record.
I have parents who make payment by cash, cheque and internet transfer. I'm fine with any payment mode so long they pay me on time
I would advise parents to also keep track on the number of lessons at their end for cross-checking. -
Some methods:
1. Parents pay per lesson.
2. You provide a book. The kids sign every end of lesson.
3. Give the kids a small book to record. You just stamp, with the date every end of lesson.
If there are still dispute after applying those methods, leave the students. He/she is not genuine customer.

Payment by lesson is easier when u first start as u are not sure if the tutor is right for your child or if you wish to stop tuition immediately for whatever reason. Also if tutor or child is ill or not free then no lesson and therefore no payment. There will not be the issue of "make-up" classes.
Once you and child are comfortable with tutor then work out the form of payment that best works for u. As long as there is a record which is accurate and contemporaneous with the lesson then such a record should be sufficient in the event of a dispute. Getting the tutor to sign off is the best of course but not so crucial as to make your record useless if not signed off. -
I am a h2 maths tutor. Some students prefer to pay me per lesson. Some pay in advance. For those who pay me per lesson, they pay me by cash or through the app DBS Paynow or DBS Paylah. For those who pay in advance, I have a form to ask the student to sign each lesson.

Pay per lesson is the best. No need to spend extra effort to remember when I need to make payment to the tutor. No dispute either.

Most parents actually just use whatsapp to track the lessons conducted as well as check in with their child after each lesson. Most tutors are extremely flexible with lessons too, so per lesson payment fees would be good.
